About this opportunity:
We are looking for a Senior Office Administrator (SOA) to perform a variety of administrative tasks and support our company's executives. The SOA will work closely with our executives to ensure daily administrative activities run smoothly and key deliverables are met. This role will therefore handle a wide variety of situations and conflicts involving the clerical and administrative functions of the company and will be responsible for confidential and time-sensitive material. The SOA will serve as a key point of contact for the rest of the team for numerous functions, as part of a collaborative, cohesive and highly productive team.
To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our executives.
What we’re looking for:
- Extensive experience working with executives including managing an extremely active calendar of appointments including coordinating and scheduling travel for executives’ as requested; may often include complex and detailed itineraries, and agendas
- Ability to facility changes to daily events as necessary, tracking and helping drive completion of key deliverables and following up on outstanding items by acting as a liaison for direct reports
- Provide administrative assistance, such as writing and editing e-mails, drafting memos/letters, drafting and editing spreadsheets, drafting presentations, filing executives’ expense reports, and preparing communications on the executives’ behalf, some of which will be confidential
- Ability to create, organize, and improve on internal business processes, company policies, and standard operating procedures.
- Lead the organization of meetings and/or events, including scheduling, sending reminders, taking minutes/notes, preparing summaries, and organizing catering when necessary
- Perform general office duties such as ordering supplies, managing office inventory, and maintaining records and files.

- Ability to work cooperatively and strategically in a team environment with all levels of professional, technical and administrative staff and to integrate resources on a timely and organized basis
- Strong sense of responsibility and high comfort level with accountability
- Willingness and capability to contribute to tasks and responsibilities outside of their job description.
- Excellent oral and written communication skills
- Highly proficient with Microsoft and Google software (Word, Excel, PowerPoint and the Google equivalents), in particular spreadsheets and slide software, video conferencing software (such as Zoom, Google Meets, Teams and others), tools such as Adobe Acrobat, Notion, DocuSign, etc.
