We’re looking for an organized, personable and efficient Front Office Coordinator to oversee the administrative functions, procedures and activities in our office. The Front Office Coordinator will coordinate with building management and vendors and keep the company informed on changes or updates to the office. The Front Office Coordinator will support our executive team in calendar management and scheduling meetings. This role will report to the SVP of People.
As Front Office Coordinator at Eko, You Will:
- Assist with scheduling meetings for the executive team, including quarterly board meetings.
- Foster a positive workplace experience
- Organize events such as group lunches, happy hours and holiday celebrations
- Order office supplies, kitchen supplies, beverages and snacks and arranging supplies as necessary
- Coordinate with building management and facilities (cleaning, catering, security) and communicating office updates, changes, disruptions to the team
- Organize, update and communicate office operations and procedures as necessary
- Manage guest visits: registering them with building security, greeting them upon arrival and showing them to the right place
- Manage inbound mail to the office: scanning and emailing documents to appropriate team members and depositing checks
- Coordinate with IT department on all office equipment
- Manage contract negotiations and ongoing relationships with office vendors
As Front Office Coordinator at Eko, You Have:
- Proficiency in Google Suite (Gmail, Google Sheets, Google Docs, Google Slides)Proven experience as an Office Administrator, Office Coordinator, Front Desk Agent, Front Desk Associate, or Administrative Assistant
- Excellent written and verbal communication skills
- Effective time management skills and ability to multitask and prioritize work
- Strong organizational and planning skills
